Getting Started with LobbyConnect

      In this article, you’ll learn how to start using LobbyConnect as your organization’s own virtual front desk.

      LobbyConnect is a Visitor Management System (VMS) that registers and checks in visitors when they arrive at your office. Once a visitor is checked-in, the host is notified of their arrival in real-time.

      Prerequisites:

      • Make sure you have licenses for your lobbies. LobbyConnect licensing is applied at the device level. As long as you have LobbyConnect licenses available, the device will automatically be licensed when it's created.
      • Make sure your user account has been granted admin-level permissions.
      • Ensure the device is connected to your local network.
      • Download the LobbyConnect app on a supported device and make note of the app Activation Code displayed on the LobbyConnect setup screen.
        Note: You do not need to memorize this code; it can manually be refreshed.


      Creating a Lobby

      Creating a lobby is very similar to creating a room or desk.

      1. Navigate to Teem.com

      2. From the Teem Dashboard homepage, go Manage > Locations.

      3. Nested under Manage > Locations, You will now see the Locations page for your organization.

      4. From the Locations page, select the SPACES tab then select + ADD SPACE to add a new lobby.


      5. Once you have clicked to add a space, a pop-out will open to the right of the screen. Enter the following information:

      • Space Type - Select the type of space (Room, Lobby, or Desk). In this case, select Lobby
      • Name - Enter the name of the space. This name will appear in the Teem dashboard
      • Description - Enter a description for this space
      • Lobby Location - From the campus hierarchy list, select the location where your space will be living in your organization.


      6. Select SAVE when you're done. To add another location, just select SAVE & ADD ANOTHER.


      Creating a Lobby with Quick Add

      Creating a Lobby with Quick Add is similar to creating a room or desk with Quick Add.

      1. Navigate to Teem.com

      2. From the Teem Dashboard homepage, go Manage > Locations.

      3. Nested under Manage > Locations, You will now see the Locations page for your organization.

      4. Teem users with Admin privileges will see a small ( + ) symbol on the right as they hover over each section of the Location Directory. This is called the Quick Add button. Clicking the Quick Add button will add a new space.

      5. Using the Quick Add option, create a new location name for your lobby. Use the room type option to select the room type.


      With this Quick Add feature, users can build out an entirely new location in minutes.

      Locations created using Quick Add inherit settings from their parent location.

      You can also drag and drop a room onto a different floor, or a floor onto a different building. It's handy to clean up one-off mistakes or move an entire deployment into a new building.


      Adding and Assigning Devices

      1. Navigate to Teem.com

      2. From the Teem Dashboard homepage, go Manage > Locations.

      3.  From the Locations page, select the DEVICES tab then select + ACTIVATE DEVICE.

      4. A pop-up menu will appear on the right side of your screen. Enter the following information:

      • Turnkey Activation Code - Enter the 6 digit code from your device
      • Name - Enter the name of the device
      • Short Description - Enter a short description of the device
      • Device Location - Select the location of the space where the lobby device will be used

      If you’ve set up both lobbies (for LobbyConnect) and room spaces (for EventBoard), both types will show in the pulldown list.

      Make sure you are selecting the correct room for the device, or it will automatically create a new room when you add the new device.

      5. Select SAVE when you're done.


      Adding and Assigning Devices with Quick Add

      After creating a Lobby, the next and last step is adding and assigning your devices that LobbyConnect lives on. Here’s how.

      1. Navigate to Teem.com

      2. From the Teem Dashboard homepage, go Manage > Locations.

      3. Nested under Manage > Locations, You will now see the Locations page for your organization.

      4. Teem users with Admin privileges will see a small ( + ) symbol on the right as they hover over each section of the Location Directory. This is called the Quick Add button. Clicking the Quick Add button will add a new space.

      5. When adding a device, you will be asked to enter your App Activation Code that you receive when downloading LobbyConnect onto your device.

      6. Once you've entered your App Activation Code, the device has been added. The device display name will default to Synch Requested.  You may want to go to the Device tab and choose your own name later.


      Manage contact list and registrations

      Once LobbyConnect is configured, you will need to import your employee contacts by using Import LobbyConnect Visitor Hosts.
