      LobbyConnect customers have access to information about each visitor that checked in using LobbyConnect. You can quickly access these logs, and the data visitors provided. Customers use this information in a multitude of ways. It can be used for compliance and safety reasons, to know which visitors are in the building at a given time, to perform analysis on the mix of visitor types hosted by each location, etc.

      In this document, you'll learn how to:

      • Access & Navigate LobbyConnect Visitor Logs
      • Check-in/out Visitors
      • Export Visitor Logs


      Accessing LobbyConnect Visitor Logs

      With the appropriate account privileges, a user can see and interact with the visitor log generated by LobbyConnect.

      1. Navigate to the admin dashboard.

      2. From the menu, select Manage > Visitors > Logs.

      The following visitor information can be found in the visitor logs:

      Visitor Logs

      You will see a list of logged visitors from LobbyConnect. Additional columns provide high-level information about each visitor:

      • Visitor - Display the name of the visitor and their photo if one is taken during the check-in process
      • Type - Indicates the type of visit selected by the visitor (e.g., visitor, delivery, interview candidate, etc.)
      • Host - Shows who the host of the visitor is
      • Location - Where the visitor checked in
      • Checked In - The time the visitor checked in
      • Checked Out - The time the visitor checked out. If the visitor did not check out upon leaving the premises, you could select CHECK-OUT to check out the visitor manually

      Visit Details

      Clicking on the visitor name will expose additional details about the visit:

      • Email - Shows the email address provided by the visitor 
      • Phone - Shows the phone number provided by the visitor 
      • Company - Shows the company name submitted by the visitor 
      • Host - Shows who the host of the visitor is
      • Host Notification - Shows how the host was notified
      • Visitor Type - Shows the type of visit selected by the visitor
      • Location - Where the visitor checked in
      • NDA/Contract - Shows if the visitor signed an NDA/contract upon checking in
      • Checked-In - The time the visitor checked in
      • Checked-Out - The time the visitor checked out. If the visitor did not check out upon leaving the premises, you could select CHECK-OUT to check out the visitor manually.

      Note

      (Beta Feature) To see custom text field responses for multiple guests, use the EXPORT option to download and view the custom text field details of the log.



      Log Filter and Export

      Filter

      Use the FILTER option if you'd like to narrow down the log results. The following filter options are available:

      • Checked in After (date)
      • Checked In before (date)
      • Campus (enter campus name)
      • Building (enter building name)
      • Floor (enter floor name)
      • Room (enter room name)
      • Device (select device name used for check-in)
      • Visit Type (select type of visit)
      • Host Name (enter hostname)

      Export

      Use the EXPORT option to download a CSV log of your log results. You will receive an email once the log is ready for download.

      Note

      At present, this export does not include signed NDA files. We do however offer integrations for Box and DropBox that allow these to be saved automatically to your account.



      Visitor Check-in/Check-out

      The Check-In column will tell you the time and date of when a visitor was in your office. The Check-Out column relies on if your visitor type has check-out enabled. If this is enabled, and your visitor checks out from the LobbyConnect display, the date and time of Check-out will appear. To check them out manually, click on the Check-out button, and the time and date of your manual check-out will appear.
